How HDD Gear collects, uses and protects the personal data you share with us — for example when you send an enquiry or an order request.

Who is responsible for your data

HDD Gear is the data controller for the personal data described in this policy.
Org. no.: 000000-0000 · VAT: SE000000000001

What data we collect

We only collect the data you choose to give us through our contact form and order request form. That is:

  • Your name
  • Email address
  • Phone number (if you provide one)
  • Company name (if you provide one)
  • Machine brand and model (if you provide them)
  • The content of your message — and, for order requests, the product and quantity

We do not collect any data about you beyond what you submit. Our hosting provider (Cloudflare) gives us cookie-free, aggregated visitor statistics through a small script on the pages — overall page-view counts that cannot be used to identify or track you.

Why we use it and our legal basis

We use your data only to answer your enquiry, prepare a quote and handle your order request. The legal basis is our legitimate interest in responding to you and taking steps at your request before entering into a contract (GDPR Article 6(1)(b) and (f)).

Who we share it with

We do not sell your data. It is processed on our behalf only by the suppliers that run our website, forms and email: Web3Forms (delivers your form submissions to us), Resend (sends login links and order confirmations to dealers), Zoho (our email inbox) and Cloudflare (website hosting). They act as our data processors under data processing agreements. Where a processor stores data outside the EU/EEA, the transfer is covered by the European Commission's Standard Contractual Clauses.

How long we keep it

We keep your enquiry or order request only as long as needed to handle the matter, and at most 12 months after our last contact, after which it is deleted. If your enquiry leads to a business relationship, related records may be kept longer where the law requires it (for example accounting rules).

Cookies and storage

This website uses no advertising or analytics cookies and no tracking. The only things we store in your browser are your chosen language and light or dark theme, so the site remembers them on your next visit, a copy of the pages you have opened, so the catalogue still works if you lose your connection, and — while the site is password-protected — a note that you have entered the password. None of these identifies you, and no consent is required.

Dealers and key customers who log in: we keep your company name, the email addresses of your users and your commercial terms in our customer register for as long as you have an account with us, so we can show your prices. The orders you send, and any contact person, phone number and delivery address you enter under My account, are stored on our web server (Cloudflare) for the same period, so that you and your colleagues can see your order history. If you ask for a login link we email it to you, and orders and status updates are sent by email. Logging in sets two strictly necessary cookies that keep you logged in for 30 days, or until you log out, and your order list is stored in your browser until you send it or log out. None of this is used for tracking, and no consent is required.

Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Have your data erased
  • Restrict or object to our processing
  • Receive your data in a portable format

To exercise any of these rights, email us at sales@dhteurope.com. You also have the right to lodge a complaint with your data protection authority — in Sweden, the Swedish Authority for Privacy Protection (IMY).
